For over 10 years, Franziska Brösicke has been delivering catering for trade fairs and events. She knows the exhibition halls across North Rhine-Westphalia (NRW) and Hesse inside out, with particular expertise in Cologne, Düsseldorf, Dortmund, and Frankfurt.

That kind of experience makes the difference: she knows what really matters on the organisational side of a trade fair, where the typical hurdles come up, and how to avoid them long before they appear.

Her approach is simple: you shouldn't have to think about the catering, because it should just run smoothly. A successful trade fair presence isn't decided by the concept on paper. It's decided once the fair is actually under way. That's exactly when the following needs to be in place:

Flexibility for last-minute changes

The reality of a trade fair often looks different from the plan: suddenly there are more visitors at the booth, meetings run long, VIP guests show up unannounced. In those moments, you don't need discussions. You need quick solutions.

Reliable punctuality

At trade fairs, there's no margin for delay. If your booth reception starts at 6 PM, or the VIP lunch is meant to be served at noon, then everything has to be ready at exactly that moment.

Relief on event day

You want to be with your visitors, having conversations, being present. Here's how you recognise premium event catering: there's nothing left for you to handle, and your trade fair booth practically runs itself.

Intolerances, preferences, and cultural differences come with the territory when you're hosting a diverse trade fair audience. Good catering plans for all of that from the start, not on the day itself.

Frequently asked questions about trade fair catering

  • Generally, even very short-notice requests are possible, sometimes within 24 hours. For most trade fair requests, around 7 days of lead time is ideal, for example a booth setup with baked goods and finger food. For larger events — lots of equipment, service staff, or high guest numbers — we prefer to plan with more lead time. Through our network, though, short-notice solutions are also possible here, as long as the circumstances allow.

  • Yes, food-only orders are absolutely possible. This is often the case for finger food or canapés at the booth. On request, we deliver not just the food but also matching tableware, platters, or tiered stands, so everything can be presented properly on-site. Service staff is optional and only added when it makes sense for your trade fair presence.

  • No, there are no fixed minimums. Even small booth setups for ten guests or fewer are possible. The only thing that matters is that a minimum amount is planned per item, for example at least ten pieces per canapé variation. That way we make sure quality and presentation are right, even with small orders.

  • No, we don't have a minimum order value. What matters isn't the size of the order, but that the catering fits your trade fair plans and can be delivered properly.

  • Yes, this is always something we factor in. We ask about intolerances, allergies, and vegetarian or vegan diets during planning and build them into the concept. Many of our menus include vegetarian or vegan options from the start. Individual requirements are discussed with you in advance and taken care of on show day, with nothing left for you to worry about.

  • In trade fair halls, external caterers are generally permitted. At congress and conference centres, exclusive catering partners are often in place, which means external caterers are usually not allowed there. Since the rules can vary from one venue to the next, we check the conditions in advance for you and arrange the catering accordingly.

  • Anything that needs organising, we sort out early, so the day itself runs smoothly. That includes exhibitor passes and access arrangements for our team, so nothing slows us down at the entrance. For larger engagements, we also coordinate further logistical details in advance, such as parking spaces, power connections, and storage areas.

  • Drinks, extras, or any equipment you need can usually be resupplied at short notice during a trade fair. Typically, this happens within about 30 minutes. On rare occasions it may take a little longer if other scheduled deliveries take priority. The key point: we plan so that ad-hoc resupplies remain possible, and your booth stays well-stocked even when needs come up unexpectedly.

  • Ideally, we have the final guest count a week before the event, so we have time to handle procurement and planning properly. Small adjustments of up to around ten percent are generally still possible up to one day beforehand. That keeps you flexible without compromising our plans.

  • During the fair, you have a dedicated point of contact who's reachable at any time. Coordination happens directly and without fuss, usually via WhatsApp or phone, whichever works best for you. That way, questions or small adjustments can be cleared up quickly, without you having to track anyone down or figure out who's responsible.

  • Last-minute changes are part of trade fair life. When schedules shift or new requirements come up unexpectedly, we respond flexibly and adjust the catering wherever possible. Our goal is that changes like these don't create extra work for you, and that your guests' experience stays smooth and professional.
